Administrative Assistant

The Administrative Assistant, under general supervision, performs a variety of complex and specialized administrative and office support functions. This position requires attention to detail and the ability to multi-task throughout the day. It requires consistent interaction with drivers as well as various management team members. In addition, the main goal is to ensure accuracy in all clerical functions and communication. The hours and level of responsibility may vary.

  • Perform job duties in compliance with all local, state, and federal regulations and company policies.
  • Process Daily Emails to Repair Orders (Lotus Notes, RTA, AS/400)
  • Run Reports out of computerized system (RTA) for open work orders.
  • Process Pre-trip and Post-trip Inspection forms.
  • Screen incoming calls and correspondences and respond independently when possible.
  • Prepare and maintain records such as agendas, notices, minutes, and resolutions for meetings.
  • Maintain accurate records and files.
  • Perform accurate and timely data entry.
  • Scan required documents into RTA.
  • Create and maintain database and spreadsheet files.
  • Prepare reports, confidential correspondence and other documents as required (ie. purchase orders, employee forms, inter-company billing, etc.)
  • Maintain file of photographs that are taken by the technicians.
  • General housekeeping of office area.
  • Maintain a positive work atmosphere with a culture of respect for others.
  • Other duties as assigned.

  • Computer proficiency in Windows and Microsoft applications; AS400, RTA, and Lotus Notes applications experience, a plus.
  • Professional demeanor and telephone etiquette.
  • Must possess excellent customer service and data entry skills.
  • General knowledge of various office functions.
  • Must possess excellent verbal and written communication skills.
  • Must be organized and detail oriented with the ability to multi-task.
  • Self-motivated and capable of working independently.
  • Ability to work in fast paced environment while maintaining accurate records for all areas of the position.
  • Must be willing to learn additional Rumpke systems/operations and able to fill in for other office personnel when necessary.
  • Must be able to maintain confidentiality.
  • Must be able to react well under pressure and treat others with respect.
  • Must have a proven work record including above average attendance and above average evaluation scores.
  • Ability to work occasional overtime, weekends and/or holidays.

  • Legally eligible to work in the United States.
  • Must successfully complete pre-employment testing
  • High School diploma or equivalent.
  • A minimum of 2 years of experience in the administration/clerical field.

  • Maintenance shop and Office environment.
  • Prolonged sitting and repetitive motions performed working on computer and other office functions.
