Electric Maintenance Admin Assistant

The Administrative Assistant supports the Electricians, Cincinnati Maintenance, and Engineering teams. This position requires attention to detail and the ability to multi-task throughout the day. It requires consistent interaction various management team members, ensuring accuracy in all clerical functions and communication.

RESPONSIBILITIES OF POSITION:
  • Create purchase orders and process invoices in SAP for Electricians and Facility Maintenance groups.
  • Keeping track of staff when not in the office and fielding phone calls from their contacts.
  • Create work orders in SAP and assign for work to be completed from Service Now requests, phone calls or emails.
  • Close out Service Now requests.
  • Close out work orders in SAP after invoices and labor have been completed.
  • Manage file folder with invoices processed by the engineering staff.
  • Assist or process Visa credit cards for Electrical and Maintenance crews.
  • Process credit card receipts with Accounts Payable.
  • Copy/scan documents.
  • Invoice File search requests to assure vendors are paid in timely manner.
  • Order office supplies, including apparel orders. Receive or pick up materials ordered.
  • Interact with vendors and accounts payable.
  • Set up new vendors for all work groups.
  • Create check requests as needed.
  • Maintain facility audit results and assist with scheduling the annual events.
  • Perform job duties in compliance with all local, state, and federal regulations and company policies.
  • Other duties as assigned.

  • Ability to follow all department rules, procedures, and instructions
  • Must be detailed oriented and be able to keep concise records
  • Ability to work independently and as part of a team
  • Ability to exercise good judgment and take responsibility
  • Ability to take directions from multiple sources and prioritize accordingly
  • Ability to handle sensitive and/or confidential documents and information
  • Previous knowledge and experience in SAP preferred.


EDUCATION AND EXPERIENCE:
  • Legally eligible to work in the United States.
  • High school diploma or equivalent, college degree preferred
  • Must be proficient in Microsoft O365 (Word, Excel, and PowerPoint), and Abode Pro
  • Good driving record; able to meet Rumpke driving qualifications
  • Must be able to produce satisfactory pre-employment drug test and background check results


PHYSICAL WORK ENVIRONMENT:
  • Office environment
  • Prolonged sitting and repetitive motions performed answering phone and working on computer
  • Some travel to other Rumpke facilities in support of the Engineering team
