Payroll Specialist

Rumpke is a fast growth business currently looking for a Payroll Specialist to report to the Payroll Manager. The Payroll Specialist is responsible for the accurate and timely processing of multi-state payroll for the entire organization. Payroll Specialists process on-site payroll from start to finish. This includes maintaining related records, filing tax returns, voluntary deduction reports, and involuntary deductions such as levies, garnishments and child support payments. This position involves access to confidential information and requires discretion, attention to detail, the ability to multi-task and meet deadlines on a consistent basis.

  • Process and guarantee weekly disbursement of multi-state payroll, including garnishments, benefits and taxes to employees consistent with federal and state wage and hour laws.
  • Process off-cycle payroll as necessary.
  • Process legal related payroll documents - Ensure compliance with garnishments, levies, support orders and federal, state, and local payroll tax withholding/reporting.
  • Accurately maintain payroll information in a computerized payroll system.
  • Review, calculate, update, and maintain employee-related information such as pay changes, retroactive adjustments, tax withholding, corrections to pay, garnishments, levies, reimbursements, fringe benefits, voluntary deductions and other related pay items.
  • Provide support to management and employees with a variety of payroll and time management questions/situations.
  • Ensure document retention for payroll and time meet legal requirements.
  • Maintain Time and Attendance system, including employee set up and maintenance, updating schedules, holidays, etc.
  • Ensure all employees’ hours are submitted/approved and uploaded into payroll system.
  • Accurately and timely prepare and file federal, state, and local payroll related taxes and corresponding payments.
  • Process and distribute W-2’s and complete and file year end returns and reports.
  • Accurately reconcile accounts/accruals to the general ledger.
  • Research, resolve, and respond promptly and courteously to all payroll inquiries/concerns from management and employees.
  • Prepare and distribute statistical and financial payroll reports as needed.
  • Perform audits of employee information within system to ensure accuracy of records and maintain data integrity.
  • Develop in depth understanding of the Payroll Database to be able to create reports on demand.
  • Maintain a high level of confidentially with all information contained within scope of employment.
  • Maintain a positive work atmosphere with a culture of respect for others.
  • Perform job duties in compliance with all local, state, and federal regulations and company policies.
  • Other duties as assigned.

Other Skills and Requirements
  • Must possess knowledge of standard concepts, practices, and procedures of payroll administration including but not limited to the calculation of payroll and related tax filings.
  • Superb accuracy and attention to detail with a high degree of ethics and integrity.
  • Experience in payroll processing and payroll taxes in a high volume, fast paced multi-state environment.
  • Excellent verbal & written communication skills.
  • Must possess a professional demeanor and telephone etiquette.
  • Ability to deal with all levels of management and employees in a professional and efficient manner.
  • Exceptional time management skills with the ability to be flexible, strategically reactive and meet deadlines.
  • Substantial knowledge of all aspects of payroll taxes and federal and state wage/labor laws.
  • Strong analytical skills with the ability to prioritize and multi-task in a fast-paced environment.
  • Ability to meet and/or exceed deadlines required.
  • Possess and maintain current knowledge of laws relating to wage and hour.
  • Must display a high level of initiative, effort and commitment towards completing assignments accurately and efficiently.
  • Computer proficiency Microsoft applications; UKG (fka UltiPro) application experience, a plus.
  • Demonstrated ability to work well under pressure and consistently meet strict deadlines.
  • Demonstrated ability to handle highly sensitive and confidential information with professionalism and confidentiality.
  • Must work efficiently and effectively, both independently and as a team.
  • Ability to identify issues, make decisions, and resolve problems.
  • Ability to work occasional overtime, weekends, and/or holidays.

  • Bachelor’s degree in Accounting or Finance or equivalent experience
  • Minimum three (3) years’ payroll experience
  • Previous employee relations experience
  • Legally eligible to work in the United States
  • Must be able to produce satisfactory pre-employment drug test and background check results
